*Please read this email carefully, as it has important details for your arrival and stay*

Thanks so much for purchasing tickets to our Solar Eclipse Festival at Ron Coleman Mining!

It's just a few weeks away and we're very excited to see everyone there!

 

We want all of our guests to have an exciting, enjoyable, safe, and memorable experience, so take your time to read over this email, and don't hesitate to reach back out to us with any questions you may have.

 

Arrival and Departure:

  • ALL festival attendees should make their way to the festival parking area located at:
        Ron Coleman Mining
        211 Crystal Ridge Lane
        Jessieville, AR 71949
          **See the maps below for directions to the festival parking area
    ALL festival attendees will park in the designated Parking Area and be shuttled to the Festival Grounds

  • Guests that are camping at the festival should arrive by 7:30am on Saturday, April 6th to set-up their tent/campsite.

  • Guests that are camping at the festival should have their campsites cleaned up and be making their way out of the festival grounds by 10:00am on Tuesday, April 9th.

  • Camping spaces on the festival grounds are not assigned**. Plots will be painted on the ground and guests may choose their own camping space.
    **Unless other special arrangements have been made (Ex: Families with young children, guests with special needs, etc). Do not claim "reserved" camping spaces or move their signage if you have not made special arrangements.**

  • Guests that are not camping should arrive at or after 10:00am on any day of the festival (Saturday, April 6th - Sunday, April 7th - Monday, April 8th)

  • Guests that are not camping must exit the festival grounds by 10:00pm each day of the festival (Saturday, April 6th - Sunday, April 7th - Monday, April 8th)

Logistics:

  • Complimentary shuttles will be running non-stop each day of the festival until 10:30pm to take guests from the Festival Grounds to the Festival Parking Area and to the Gift Shop

  • The Gift Shop is where guests can access any of the following:
        Shopping
        Public Digging Area
        Zip-Lining
        Tours

  • If needed, Showers and a Laundromat can be found at the RV park - a short walk from the Gift Shop (Passes for the showers must be purchased in the giftshop)

  • The Gift Shop closes at 6:00pm

  • The Zip-Line closes at 6:00pm

  • The Public Digging Area closes at 5:30pm

  • Once the Gift Shop closes, the shuttle will only run from the Festival Grounds to the Parking Area (from 6:00pm until 10:30pm)

  • There will be two additional food trucks located outside the Festival Grounds at the RV Park.

  • Security and staff will be available at night to take guests back to their vehicle as needed during the times the shuttles aren't running.

Things to Note:

  • Parking is $10 per vehicle, each time the vehicle enters the Parking Area (excluding 3-Day Festival Camping Pass holders, for which parking is included)

  • YOU WILL NEED YOUR QR CODE(S) TO ENTER THE FESTIVAL GROUNDS AND BE GIVEN A WRIST BAND. The QR code(s) should have been in your original booking email. If you've misplaced your QR code(s), please send us an email here to get a replacement. We recommend printing your QR code(s) in case your phone loses battery or service.

  • No power outlets will be available inside the Festival Grounds. There will be a charging station located in the Gift Shop during open hours, but we recommend bringing your own portable charger.

  • WiFi access will be available at request in the Gift Shop

  • No open fires are allowed (the state has issued a burn-ban for the eclipse weekend). Enclosed propane grills are acceptable to use for cooking.

  • We will not be selling alcohol anywhere at the event. Guests wishing to drink alcohol are encouraged to bring their own.

  • Alcohol must be in a discreet container (koozie, paper bag, cup, etc)

  • Alcohol must remain inside the festival grounds. No alcohol is allowed on any property (digging area, gift shop, tours, etc) outside of the festival grounds.

  • Bagged ice will be available for purchase at the Gift Shop

  • Vendors should be able to accept credit/debit cards, but it may be wise to bring some extra cash since there's no ATM on the property.

  • ALL guests will need to sign a waiver. You will be able to sign the waiver on-site, but you may also request one via email if you'd like to print, sign, and bring it with you to save time once you arrive.

  • The Medical Tent will be staffed from 10:00am until 10:00pm. If you have any medical needs outside of those hours, please contact security. Security will be equipped with basic first-aid materials and have basic first-aid training.

  • State Officials have warned the public that emergency services may be limited and/or delayed over the eclipse weekend. We recommend calling our local emergency numbers (listed below) FIRST in order to get help as quickly as possible.

  • Traffic is expected to be extremely dense, especially on the day of the eclipse (Monday, April 8th). We recommend adding at least an hour (and possibly more on the day of the eclipse) to your planned travel time.

  • Loud noise is not permitted after 10:00pm. Warnings will be given for the first offense, but repeated offenses may lead to you being asked to leave.

  • Since most of our camping guests requested the “Family Area” Camping, we’ve opted to make the entire grounds “quiet hours” after 10:00pm. If you’ve got any questions or concerns about this, please reach out to us ASAP at events.roncolemanmining@gmail.com .

Additionally, staff and/or security will be roaming the properties in identifiable "Staff" and "Security" shirts during all hours of the festival, and can be approached with any questions or concerns you may have.

    Make sure you choose the route that takes Highway 7 North to Little Blakely Creek Road. We do NOT recommend taking West Main Haul Road (it is unpaved and lacks cell service).
